About Elta Fans

Established in 1974, Elta Fans initially produced circulating fans for high temperature applications before expanding its capabilities to focus on supplying Original Equipment Manufacturers (OEM). In 1996 the company was acquired as the principal company in the then newly formed Elta Group. Remaining a privately owned company, substantial investment has supported Elta Fans's continued expansion on an international scale. Today Elta Fans has an annual turnover of £20m and its products are available internationally.

Challenge

In 2017 Elta Fans took the decision to change the way it procured office products, stationery and desktop printer supplies at its Hampshire facility. The company was using three different suppliers and was stocking over 270 different office products. It wanted to simplify and streamline its ordering process by using a single supplier and to significantly reduce its annual £24k stationery spend on toners for desktop printers and stationery.

We were one of three suppliers invited to tender for the new three-year Long-Term Supply Agreement (LTSA).

Solution

Having assessed Elta Fans’s stationary and toner spend, we were able to demonstrate how rationalising its products and the processes by which they were procured could result in significant cost savings. Elta Fans was spending £18k on its printer fleet and toner and £6k on stationery each year. By rationalising the office products inventory down from 270 products to just 71, and by introducing our Managed Print Service (MPS), we could deliver a 29% cost saving per annum on stationery, plus the equally important additional saving in time for purchasing and administration staff.

Elta Fans was operating a fleet of 15 desktop printers which had been individually requisitioned over the years. Together with Elta Fans’ staff, we conducted a comprehensive assessment of desktop printer use and as a result removed the payments for five of the printers that were surplus to requirements.

As part of the initiative we also replaced the remaining desktop printers with our approved reconditioned printers that use less toner. It also replaced original toner with our Premium toner. For the three-year MPS contract, we own and maintains the desktop printer fleet, which has reduced Elta Fans’s monthly printer spend by 32%, from £874 a month down to £575 a month.

Procurement, Elta Fans said,

“By switching to a Managed Print Service, we have made considerable savings on our toner spend for desktop printers. Not only have we been able to reduce our printer fleet, but we have reduced our monthly toner spend by one third and overall made a 29% annual saving on our stationery budget. It’s also simplified our ordering processes and we no longer have to worry about printer maintenance. This has allowed staff to focus on other matters that are critical to the business. It’s a win win situation all round.”

We have since been awarded a contract to supply stationery at Elta Fans’s facility in Colchester.
